Commercial real estate management company looking for direct administrative support to the Operations Department by handling the day-to-day administration, including handling daily tenant service requests, written and verbal communications with tenants, contractors, and vendors. Processing of job invoices, maintenance contracts, and utility services. Maintain tenant rosters, insurance certificates, contracts, and job estimates.

Support on-site maintenance team with supplies and purchases. Maintain and monitor
office equipment and supplies. Assist the management team and other staff members
with various functions and projects ensuring timely and efficient completion.

Qualifications:

· Minimum 3 years of commercial real estate administrative experience
· Proficiency with Microsoft Office and Microsoft Excel using formulas, sorting, and
filtering
· Self-starter to follow through on projects and tasks to completion is essential
· Excellent telephone and written communication skills
· Excellent time management and organizational skills, ability to multi-task and prioritize
work
· Problem solving; attention to detail and accuracy essential
· Customer-focused; positive demeanor
· Develop and maintain effective working relationships with a wide audience (internal
and external)
· Able to work independently or in a group setting
· Maintain a reliable and dependable attendance record
· High level of integrity, work ethic, and confidentiality
· Basic knowledge of construction and construction terminology
· High proficiency in dealing with tenant calls (commercial)

– Support to Executive Admin Assistant as needed

· Strong knowledge of all aspects of utilities and dealing with utility companies
· Maintain a good working relationship with field staff and be able to dispatch them when
needed.
· Maintain a good working relationship with the accounting department and be able to
problem solve issues together.
· Be able to familiarize yourself with the properties and know locations of vacancies,
utility rooms, etc.
· Learn to efficiently use our camera software to capture incidents at the properties.
· File insurance claims as necessary for various damages to the properties and see the
claim through to resolution
